At HubPerfect, we respect your privacy. This policy outlines what we collect, why we collect it, and how you can stay in control.
🔍 What We Collect
We collect only the data we need to provide you with our services:
- Your email address (used to sign up and log in)
- A secure, encrypted password (which we never see)
- Metadata from your HubSpot assets (emails, workflows, forms, etc.)
- Usage logs and performance analytics (to improve the product)
We don’t access or store any of your CRM customer data (contacts, deals, companies, etc.).
🧠 What We Do With It
We use this data to:
- Let you log in and use the app
- Analyse your HubSpot asset metadata via OpenAI
- Provide actionable feedback
- Email you about updates (if you’ve opted in)
🛠️ Where It’s Stored
- Bubble.io (AWS West region) — application host
- OpenAI (via secure API) — temporary analysis of asset metadata
- HubSpot (yours) — connected via OAuth to access asset data, never CRM records
- HubSpot (mine) — used for newsletters and marketing email (with consent)
🔒 Security
- Your password is encrypted — even we can’t see it
- All data is transmitted via HTTPS
- Users can only access data from their own HubSpot portal

Under GDPR (and other privacy laws), you have the right to:
- Access your data
- Correct or delete your data
- Withdraw consent
- Lodge a complaint with your local supervisory authority

Send us an email at support@hubperfect.co.uk and we’ll delete your account and all associated data. No drama.

Welcome to HubPerfect. By using the app, you agree to these terms. We’ll keep them short and understandable.
🧾 What You’re Signing Up For
HubPerfect is a tool that connects to your HubSpot account, analyses metadata from your assets (emails, workflows, etc.), and provides AI-powered feedback.
You agree not to use it for anything illegal, shady, or spammy.
💸 Billing
- This is a monthly subscription product
- You can cancel any time — no long-term contracts
- After cancellation, your account will be locked until you reactivate it
🔑 Access
You must be a Super Admin in your HubSpot account to install the app. Each user account is tied to one HubSpot portal.
🙅♂️ Restrictions
You may not:
- Try to reverse-engineer the app
- Use the app to access or scrape other users’ data
- Use the app to process illegal or sensitive information

This is a self-serve tool — results are suggestions, not legal, marketing, or technical guarantees. Use your judgment (or hire a consultant).

📦 Who Processes Data?
We use the following sub-processors:
- Bubble.io (hosting, backend)
- HubSpot (marketing and CRM)
- OpenAI (used via API to analyse asset metadata)
All data transfers comply with GDPR and are encrypted in transit.
🔐 What Data Is Processed?
- Your login email
- HubSpot asset metadata (JSON describing emails, forms, workflows)
- No customer CRM data (contacts, deals, etc.) is ever processed or stored
🛠 How Long Is Data Retained?
- While your account is active
- Deleted upon request via email to support@hubperfect.co.uk
⚠️ Breach Response Plan
In the event of a data breach, we’ll:
- Notify affected users within 72 hours
- Notify UK/EU authorities as required
- Provide steps taken and mitigation actions
How we safeguard your data and keep your workspace secure.
✅ Platform Security
- Hosted on Bubble.io, which uses AWS infrastructure (West region)
- All communication is secured with HTTPS
- App data is protected by Bubble’s privacy rules and user-level access
🔒 Account Security
- User passwords are hashed and stored securely — even we can’t see them
- Only users with valid login credentials can access data
- Users can only access data from their connected HubSpot portal
🔁 Data Sharing
- We don’t share your data with third parties for marketing or monetisation
- Metadata sent to OpenAI is used solely for generating feedback and is not retained long-term
👨💻 Developer Controls
- Access to admin tools is restricted to the founder
- No in-app “search all data” function
- All data is siloed by HubSpot Portal ID

Frequently Asked Questions
Do you store our HubSpot contacts, companies or deals?
No. We only access metadata from your assets (like forms and workflows), never CRM records.
Where is our data stored?
- App and analysis data: Bubble (AWS West – USA)
- Website and marketing data: HubSpot CMS (Germany)
Remember just metadata, no customer data.
Is the data sent to OpenAI secure?
Yes. We use OpenAI's secure API to send only metadata (not CRM data). Data is not retained or used to train models.
Is my login secure?
Yes. Your password is encrypted — even we can’t see it. All communications are HTTPS-protected.
Can I delete my data?
Yes. Email support@hubperfect.co.uk and we’ll delete your account and all associated data.
Who can access our data?
Only you, via your secure login. Each user’s data is tied to their HubSpot portal. There’s no "view all" admin access.
Can I use HubPerfect if I’m a consultant working on behalf of clients?
Yes, but each HubSpot portal will need to be connected by a Super Admin. We don’t currently support multi-account control from one login.
Is HubPerfect GDPR compliant?
Yes. We store minimal personal data, provide full data deletion rights, and use GDPR-compliant processors.
Why are your legal and privacy documents so short and easy to read?
Because they should be.
Most legal pages are bloated with jargon nobody understands — and often don't even apply to how the product actually works. We’ve taken the opposite approach:
- We collect very little data
- We don’t do anything shady with it
- We’d rather explain that clearly than hide it in fine print
These documents are fully GDPR-compliant, but written in plain English so real people (like you) can actually read and understand them. Transparency shouldn’t feel like homework.
